Contact Segments: How to Group and Target Your Leads More Effectively

Not all leads are equal. A visitor who submitted a form on your pricing page and a visitor who spun your wheel for a discount are in very different mindsets — and they deserve different messages. Popwis Contact Segments let you group contacts by rules so you can target, sequence, and sync exactly the right people.

What Are Contact Segments?

A segment is a dynamic group of contacts that automatically updates based on rules you define. Examples:

  • All contacts from the UK
  • Contacts who submitted a specific form
  • Contacts with 5 or more interactions
  • Contacts added in the last 30 days

Whenever a contact's data changes, they are automatically added to or removed from segments they match.

How to Create a Segment

Go to Segments in the sidebar and click New Segment. You'll see a rules builder where you can add conditions:

  • Field — email, source, status, location, activity count, date added
  • Operator — equals, contains, greater than, before, after
  • Value — the target value to match

All conditions are combined with AND logic — a contact must match every rule to be included.

Recomputing Segments

Segments update automatically every hour via a background job. You can also trigger a manual recompute anytime by clicking "Recompute Now" on the segment page. The member count and list update immediately.

Using Segments to Trigger Sequences

One of the most powerful uses is the Segment Enter trigger on email sequences. When a contact enters a segment for the first time, they're automatically enrolled in a sequence. This lets you build flows like:

  • "High-value leads" segment → enrolled in VIP email sequence
  • "30-day inactive" segment → enrolled in re-engagement sequence
  • "UK visitors" segment → enrolled in localised offer sequence

Syncing to Mailchimp or Klaviyo

If you've connected Mailchimp or Klaviyo, you can enable auto-sync on any segment. When the segment recomputes, new members are automatically pushed to your selected audience or list in your email platform. This keeps your marketing lists perfectly in sync without any manual exports.

When to Use Segments vs. Sequences

The Bottom Line

Segments transform your contact list from a flat CSV into a living, organised database that powers smarter marketing. Combined with email sequences and Mailchimp/Klaviyo integrations, they give you a complete marketing automation stack built right into Popwis.
